Load the document master
The list of expected documents, due dates and folders is kept in your database, not in the page, so it can't be copied from the page source. Load the master file once to start.

Files not following the naming standard
These files sit in client folders but don't match any document code, so the tracker can't count them. Rename them, or ignore them if they are workings.

Overdue documents, by team member
Everything past its due date for the selected FY and not yet received. Copy a reminder and send it on Cliq or WhatsApp.
Files in WorkDrive waiting to be filed
These files were put into client folders without the standard name. The person who put them there files them, since they know what is inside: File it renames and moves it to the right folder, Working file moves it to the working-files folder where anything can be kept. The list refreshes every night, or when an owner or senior runs Sync.
Team reports waiting for review
Approve, or return with a comment. A returned report counts as not submitted until it comes back. You can excuse a genuine delay so it does not count against the person.

Clients
The profile decides which documents are expected and which folders are created. Team members see only the clients assigned to them.
What every client is expected to give
Seniors and the owner can change the due day of monthly items and switch documents on or off for all clients. Statutory dates are defaults; check them against notifications and extensions each year.

Reporting requirements
Reports the team prepares and submits for review, such as the trial balance, reconciliations and MIS. Each is reviewed by the person's senior (or the owner) and counts towards the scorecard.
File naming pattern
Click a piece to add it. {PERIOD} and either {CODE} or {DOCNAME} are required so RecordRight can recognise files.

Who can sign in
Owner: everything. Senior: all clients, assign work, see activity and reports. Team member: only assigned clients, can save documents. Switching someone off removes their access immediately; once switched off, they can be deleted permanently. Their name stays in the history.
Download or receive by email
Every report downloads as a formatted Excel file with working totals. The same files can arrive in your inbox automatically.
Monthly status
Every client against every monthly document for one month.
Overdue list
Everything past its due date, with who is responsible and days late.
Team summary
Per person: clients, documents due so far, received, % on record and overdue.
Team scorecard
Green / Yellow / Red score per person per month for team reports, with the FY average. Scores are calculated by formulas from the counts.
Upload quality
Per person: files saved, how many had warnings, and how many were saved anyway with a reason.
Unsorted files
Files in WorkDrive without the standard name, who put them there and for how long.
Saved files log
Every file saved this financial year, by whom, with WorkDrive links and check notes.
Automatic emails
RecordRight sends these on its own. Switch off anything you don't want.
Recent activity
Every save, removal, client change and access change. Entries cannot be edited or deleted.
Change requests
What applies to a client, check levels, start months and due-date extensions change only with approval. Team members' requests go to their senior or the owner; seniors' requests go to the owner. Approved changes are applied immediately.

Customers
Every firm and business that has signed up, with their team. Click the number of logins to see each person. Only RecordRight staff see this tab. You also get an email each morning when a trial is about to end.
Drive sign-in keys
One-time setup so customers can click "Connect Google Drive", "Connect OneDrive" or "Connect Zoho WorkDrive". Create an app with each provider, add this sign-in return address to it, and paste its ID and secret here. Saved keys are never shown again.
Storage and settings
Documents go into your own drive: Google Drive, OneDrive, Dropbox, an office server, or Zoho WorkDrive. RecordRight keeps only file names, dates, status and links, never the documents.
Your drive folder on this computer
- Works with Google Drive, OneDrive, Dropbox, WorkDrive TrueSync or an office server folder.
- Choose the main folder that holds all client folders.
- Each person connects it once on their own computer.
- PDF and Excel checks run in this browser window.
Direct connection to your drive
Not connected.
You sign in with your own Google, Microsoft or Zoho account. RecordRight never sees your password, and files stay in your drive.

Folder structure
How folders are arranged inside your main drive folder. Under each client folder RecordRight adds the financial year (for example FY 2026-27) and then the standard folders. A client with no group sits directly in the main folder. Any one client can also be given its own custom path.
Start month for tracking
Months before a client's start month are not expected and never show as overdue. Each client has its own start month in its profile; set it here for many clients at once.
Financial years
The year menu at the top lists every year from this one up to next year. A new year appears automatically on 1 April.
Due-date extensions
When the government extends a due date for one month or one year, record it here. Only that period moves; other months keep their normal due date. Overdue counts, alerts and scores use the extended date.
Preview as someone else
See RecordRight exactly as a senior or team member sees it. Nothing can be changed while previewing.
